The Human Resources Assistant-Kosti will has the overall responsibility of supporting the provision of Human Resources Management in the office and field sites. By the Guidance and Supervision of Human Resource Officer.

Responsibilities:

  • To ensure that all staff files are kept up to date with all the necessary information and that these are maintained in an orderly and neat manner. This entails confirming that all the staff members have filled all the required forms and that copies of these are maintained in the Kosti office.
  • To maintain the Kosti office and field sites’ staff lists ensuring that information on new entrants and exits is reflected on a monthly basis.
  • To ensure that all payments pertaining to the HR function are photocopied and filed in the appropriate files for easy access to information.
  • Ensure that all staff members have valid Social insurance numbers, MTI ID Card and that the staff database is updated with the same.
  • Assist in the translation of documents if and when required
  • To assist in the advertisement of existing vacancies in the organization, ensuring that the appropriate network is used.
  • To ensure that all the CVs received for vacant positions are properly filed and submitted to the concerned parties as well as ensuring that the stated deadlines are complied with.
  • To represent the HR department in the interview process as part of the interview panel, ensuring that HR Policies and best practice are adhered to during the whole process.
  • Ensure that staff members fill accurate leave forms and sickness forms and the same are authorized by the necessary parties while at the same time maintaining a schedule that shows the leave status at all times for all the national staff members in the Kosti programme.
  • Maintain the Human Resources qualifications database and ensure that all the information for all staff members is updated and copies of the identified qualifications kept in the staff files for reference.
  • Maintain the staff Human Resources contract dates database ensuring that the start dates of contracts correspond with the database and that this is kept updated at all times. 
  • In liaison with the HR Officer, to offer advice on the MTI Sudan National Staff Policies and Procedures to line managers and other staff members ensuring that all MTI staff is conversant with the same.
  • To provide the monthly payroll input for the Kosti Office in liaison with the Kosti based Finance Officer, ensuring that all salary advances, unpaid leaves, absence days, new entrants and exits are all incorporated in the payroll.
  • Ensure an appraisal system is in place for all staff in Kosti and follow up on appraisal status of staff in the field sites. 

Others

  • To fill in for the HR officer in his/her absence.
  • Any other duties as may be allocated from time to time.

Minimum Qualification, Skills and Experience Required:

EDUCATION, LICENSES, & CERTIFICATIONS                                                                                         

  • Relevant educational background in human resource management, and with fluent written and spoken English and Arabic language

EXPERIENCE                                                                                                                                                     

  • Minimum 1-2 years of Human Resources with one Year in INGO.

KNOWLEDGE, SKILLS & ABILITIES                                                                                                                     

KNOWLEDGE

  • Extensive knowledge of Human Resource, Recruitment  . 

SKILLS

  • Relevant experience, including good working knowledge 
  • Good team player and social skills, and strong on taking initiatives
  • Good communication skills
  • Skilled at using Microsoft Word, Excel and Outlook.
  • A good command of both written and spoken English.

ABILITIES

  • Keen desire to build the capacity of staff. 
  • Ability to be flexible and manage stress, especially in situations that require a high degree of 
  • diplomacy 
  • Ability to maintain detailed records with high accuracy.
